General conditions of sale.

These terms and conditions form a contract between Rakatanga Tour Europe SL, CIF: B-37569829, Travel Agency ID number CICL.37-116, with registered office at C/ Altamira 11, 36002, Pontevedra, Spain, and the individual or participant booking a trip (the client) offered on our website www.rakatanga-tour.com or directly provided to the client in the case of a tailor-made or private trip.

Booking one of our trips implies full acceptance of all the terms and conditions of this contract.


REGISTRATION AND BOOKING

Your registration will be considered effective once the registration form and booking are received. The booking must be accompanied by a deposit of €500 per person and per trip (€750 for tours to Bhutan and Tibet) if the reservation is made more than 40 days before the trip begins.

For trips to Bhutan and Tibet or private group trips scheduled outside of our public catalog dates, full payment must be made 60 days before departure to obtain the visa and confirm hotels in accordance with official Bhutanese government regulations and procedures for Tibet.

If the booking is made less than 40 days (or 60 days for Bhutan, Tibet, and private group trips) before the departure date, 100% of the trip cost must be paid. Your booking will be confirmed by email or in writing.

All trips must be fully paid at least 40 days before the start of the trip (60 days for Bhutan, Tibet, and private group trips). Otherwise, Rakatanga Tour reserves the right to cancel the reservation and retain the full payment as compensation.

For private or tailor-made tours, payments must be made 60 days before the start of the tour.


CANCELLATION

Cancellation by the Client

For services already booked, paid for, and non-refundable by external service providers (transport companies, guides, airlines, hotels, etc.), penalties from those providers may be applied in addition to Rakatanga Tour’s own cancellation fees listed below:

  • More than 40 days before the trip (60 days for Bhutan and Tibet):
    Full refund minus €70 per person for bank and admin fees, and any non-recoverable expenses already incurred with providers.

  • Between 30 and 40 days before the trip (45 to 60 days for Bhutan and Tibet):
    50% refund minus €70 per person for bank and admin fees and any non-recoverable expenses.

  • Less than 30 days (or 45 days for Bhutan and Tibet):
    No refund.

  • No-show or late arrival:
    No refund will be issued in the case of no-show, late arrival, or failure to present the necessary documents (passport, visa, driver's license, etc.).

The payment date will be considered as the date the bank transfer is made, with the bank receipt being the only accepted proof.

Cancellation by the Client for Private or Tailor-Made Tours
  • More than 60 days before the trip:
    Full refund minus €70 per person for bank and admin fees and any non-recoverable expenses.

  • Between 45 and 60 days before the trip:
    50% refund minus €70 per person for bank and admin fees and any non-recoverable expenses.

  • Less than 45 days before the trip:
    No refund.

  • No-show or late arrival:
    No refund under the same terms listed above.


SPECIAL CONDITIONS FOR THE 55-DAY “EURASIA ON MOTORBIKE – BARCELONA TO KATHMANDU” TRIP

1. BOOKING AND PAYMENT

The booking is effective upon receipt of the registration form and a deposit of €500 per person.

Payment schedule:

  • First payment (by March 30, 2025):

    • Rider: €5,500 (including the €500 deposit)

    • Passenger: €3,500 (including the €500 deposit)

  • Second and final payment (by May 31, 2025):

    • Remaining balance

2. CANCELLATION BEFORE THE START OF THE EURASIA MOTORBIKE TRIP

If cancelled by the client:

  • More than 90 days before departure:
    Full refund minus €180 for admin fees and any non-recoverable costs (e.g. visas, flights, ferries, hotels).

  • Between 90 and 70 days before departure:
    60% refund of the total trip price.

  • Between 69 and 45 days before departure:
    €2,000 refund for riders, €1,500 for passengers.

  • Less than 45 days before departure or no-show:
    No refund.

  • Visa Denial:
    If a visa is unjustifiably denied by a consulate, the cancellation terms above will apply.
    The client must manage potential reimbursement directly with the insurance provider under the "Travel Cancellation due to Visa Denial" clause.

3. CANCELLATION BY THE ORGANIZATION

If Rakatanga Tour cancels the trip, 100% of payments made will be refunded, excluding visa issuance costs and travel insurance fees if applicable.


4. CANCELLATION AFTER THE START OF THE EURASIA MOTORBIKE TRIP

4.1 Interruption of the trip or late arrival on departure day

  • If the Client interrupts the trip for any reason, no refund will be given.

  • Any related expenses (motorbike transport, extra hotel nights, plane tickets, additional transfers) are the responsibility of the Client.

  • If the Client uses a motorcycle provided by the Organization, they must cover the cost of shipping it back to Barcelona and any customs fees.

4.2 Partial or total cancellation due to circumstances beyond the Organization’s control

  • In cases of force majeure (natural disasters, war, strikes, road closures, extreme weather), the Organization is not liable and no refund will be made.

  • If the Organization must provide extra hotel nights or additional unforeseen services, the costs will be borne by the Client.

  • If a service cannot be provided, similar alternatives or reimbursement will be offered. The Client must pay the price difference if the alternative costs more.

4.3 Itinerary modification

  • Motorcycle trips involve unpredictable factors—weather, road conditions, etc.—so changes may be necessary for safety and viability.

  • The itinerary is indicative and may be modified according to circumstances.

  • The Organization reserves the right to modify or cancel parts of the itinerary at any time, before or during the trip, without prior notice.

  • Decisions about route adjustments will be made by the guides and do not entitle the Client to claims or compensation.


MODIFICATION OF RESERVATION BY THE CLIENT

  • Changes to the trip or its dates are allowed if made more than 30 days before the start.

  • A €70 per person bank and admin fee applies.

  • Any modification within 30 days of departure is considered a cancellation, and the penalties above apply.

  • Changes involving external providers may also incur penalties from those providers.

ITINERARY CHANGES BY THE ORGANIZATION
  • The Organization may modify or cancel any part of the itinerary at any time, without notice.

  • Due to unpredictable factors (weather, road conditions), last‑minute changes may be made for safety.

  • The day‑to‑day partner itinerary is indicative and not rigid.

  • Modifications may occur before or during the trip.

  • Guides will make decisions in the travelers’ best interest, and the Organization cannot be held responsible for any losses or inconveniences resulting from those changes.

  • Travelers are advised to remain flexible and prepared for changes.

PRICES

Trip prices are those published on www.rakatanga-tour.com or provided directly to Clients for tailor-made trips. Included and excluded services are specified in each trip’s description.

LITIGATION

Rakatanga Tour and the participant agree to submit exclusively to the courts of Pontevedra, Spain, for any dispute that cannot be resolved amicably. Any unpaid invoice more than six months overdue will incur an administrative fee of €190.

LIABILITY

Rakatanga Tour cannot assume each participant’s personal responsibility.
Each participant must ensure they have all required documents (ID, visas, International Driving Permit, etc.) for travel.
As trip organizers, Rakatanga Tour works with various providers (local agents, hotels, transporters, service providers), each of which retains its own liability.

RISKS

Our trips include outdoor activities and motorbike riding, which involve inherent risks.
Each participant assumes these risks and agrees not to hold Rakatanga Tour, its directors, guides, or providers liable for accidents or incidents during the trip. This clause also applies to the participant’s family members.
Participants must follow safety rules and guides’ advice; guides are not liable for accidents resulting from participant behavior.
Rakatanga Tour reserves the right to modify the itinerary or parts of the program if group safety is at risk. This decision will be made by the Organization or guide.

The Client certifies, for motorbike trips, that they hold a valid national motorcycle license and International Driving Permit valid in the destination country, and that these documents are authentic.


MOTORBIKE DEPOSIT

A deposit secures against minor damages to the motorcycle. It does not cover all or major damages.

  • Deposit: €500 (€800 for Turkey and Thailand) via Swikly electronic system, also covering potential extra requests (extra hotel nights, internal flights, tours, etc.).

  • You will receive a confirmation email from Swikly; the amount is blocked, not charged.

  • If no damage or extra requests occur, it is automatically released 20 days after the trip ends.

  • In case of total destruction of the motorcycle due to an accident, the Client’s maximum liability is:

    • €1,700 for Royal Enfield tours in Nepal, India, Bhutan, Tibet

    • €5,000 for CB 500X in Thailand

    • €7,000 for motorcycles in other destinations

In case of accident, the Client agrees to advance payment for repairs (within the above limits), pending insurance reimbursement. Any insurance payout received will be returned to the Client.


MOTORBIKE INSURANCE

Note: In Asia, our motorcycles have third‑party insurance only; it does not cover damage to your own bike.
Participants can subscribe to “Moto Plus Coverage”, with material‑damage coverage up to €1,100 (€1,600 in Turkey).
This extra coverage applies only to material damage to the participant’s bike.

Conditions for Moto Plus Coverage

Third‑party insurance covers damage to third parties’ property and persons but excludes damage to the participant’s own bike.
Moto Plus is available in India, Nepal, Tibet, Bhutan, Sri Lanka, Thailand, Tanzania, and Turkey.
Coverage includes:

  • All material damage in case of an accident (frame, engine, accessories)

  • Damage or theft of accessories mounted on our motorcycles (guards, mirrors, luggage racks, etc.) — excludes personal accessories.

  • Loss or damage of parts during travel (covers, mirrors, signals, etc.) without accident.

  • Tires, rims, and tubes — covers punctures, blowouts, and rim damage due to travel conditions.

Exclusions:

  • Personal accessories mounted by the Client (camera mounts, magnetic tank bags, etc.)

  • Theft or loss of participant’s personal equipment (helmet, jacket, gloves, cameras, etc.)

  • Damage to third parties or their property — covered by existing third-party insurance

  • Personal injury to driver or passenger

  • Theft of the motorcycle
